Key takeaways
- Start each day with SIP bounces, payouts in transit and new RTA transactions.
- Check KYC status, nominee gaps and contact mismatches regularly, not only when a transaction fails.
- Keep weekly time for pending service requests and document follow-ups.
- Monthly: reconcile brokerage, refresh held-away CAS data and schedule review meetings.
- Respect messaging consent, DND preferences and family-level privacy.

A steady client service routine is what separates a calm MFD office from one that runs on phone calls and surprises. Most service problems, from bounced SIPs to delayed payouts, are visible in your data a day or two before the client notices. A simple routine catches them first.
Below is a practical structure: what to check every morning, every week and every month. Adapt it to the size of your team.
Morning checks (every working day)
1. SIP bounces and failed instalments
Go through the previous day's rejected or failed SIP instalments. Typical reasons:
- Insufficient balance in the bank account on the debit date
- Mandate not registered or still pending with the bank
- Mandate expired or cancelled by the client
- Bank account changed without updating the mandate
- Mandate limit lower than the SIP amount after a step-up
Next steps:
- Read the rejection reason from the RTA or AMC data.
- Check the mandate status before calling the client.
- Inform the client once, clearly, with what happened and what they can do.
- Note the follow-up date.
Do not over-message. One clear note is more useful than three reminders.
2. SIP, STP and SWP end dates
List SIPs, STPs and SWPs ending in the next 30 days. Clients often do not realise a SIP has ended until months later. Let them know the end date is coming; whether to continue is their decision.
3. Redemption payouts in transit
Track redemptions placed in the last few days. For equity-oriented schemes, payouts are typically credited within a few working days of the redemption date under current SEBI norms; verify the current timeline in the scheme documents. If a payout is overdue, check the bank details on the folio before escalating to the RTA.
4. New transactions from overnight feeds
Review new purchases, redemptions and switches from the RTA mailback feeds. Look for anything unexpected, such as a redemption the client did not mention, and make sure each transaction maps to the right client and family.
Client moments
Birthdays and anniversaries
A short, respectful message is enough. Keep it personal, not promotional. Respect opt-outs: if a client asked not to receive such messages, record it and stop.
KYC status checks
KRA statuses commonly seen include KYC Registered, KYC Validated and On Hold. An On Hold status often needs email or mobile verification, or an Aadhaar-related update, before the client can transact smoothly. KRA rules change, so verify the current requirements with the KRA before guiding the client through the steps.
Nomination and PAN-Aadhaar gaps
Folios without a nominee or a recorded opt-out, and PANs not linked with Aadhaar, can cause problems later. Flag them during a calm period, not when a transaction is stuck.
Contact detail mismatches
If the mobile or email on a folio differs from what the client uses now, statements and OTPs go astray. A change of contact details goes through the prescribed process with the client's request.
Transmission cases
When a client passes away, the family will contact you during a difficult time. Handle with care: explain the documents the RTA needs, give them a single point of contact, and do not rush them.
Weekly tasks
- Pending service requests. Review every open request: change of bank, nominee update, address change, transmission. Note what is waiting on whom.
- Document follow-ups. Chase missing documents once a week instead of daily.
- Bounce follow-up. Check whether last week's bounced SIPs resumed.
Monthly tasks
- Brokerage reconciliation. Compare expected trail commission with what each AMC paid and investigate gaps. Our guide to trail commission for mutual fund distributors covers how this works.
- CAS refresh. For clients who have consented, refresh their CAS to keep the held-away assets view current.
- Review meetings. Schedule portfolio review meetings for clients due that month.
- Consent and preference review. Update opt-outs and DND preferences.

Privacy and messaging
- Consent. Send messages only on channels the client agreed to.
- DND. Respect DND registrations and any opt-out the client gives you.
- Family privacy. Grouping a family in your records is for your convenience. Never share one member's holdings or transactions with another without that person's consent.
End-of-day wrap-up
Before closing, spend ten minutes on three things:
- Mark which morning items are resolved and which carry over.
- Log every client call or message with a one-line note, so anyone in the team can pick it up tomorrow.
- Check that no client request received today is left without an owner.
Making it routine
Doing this from spreadsheets is possible but slow. Back-office software can surface most of these items as a daily task list; IntelliWealthPro does this from RTA feeds and client records. Whatever tools you use, the habit matters most: the same checks, at the same time, every day.

Frequently asked questions
Why do SIP instalments bounce?
Common reasons are insufficient balance on the debit date, a mandate that was never registered or has expired, a change of bank account, or a mandate amount lower than the SIP amount. The RTA or AMC rejection reason usually tells you which.
What does an On Hold KYC status mean?
It means the KRA has flagged the record, often because email or mobile verification is pending or Aadhaar-related details need updating. Transactions may be affected until it is resolved. Check current KRA rules for the exact steps.
How long does a redemption payout take?
For equity-oriented schemes, payouts are typically credited within a few working days of the redemption date under current SEBI norms. Check the scheme documents and the latest SEBI timelines for the exact period.
Can I share a client's portfolio with their spouse or children?
Only with the client's consent. Family grouping in your software is for your convenience; it does not give one family member the right to see another's holdings.
